Task: prepare a client case

A support or operations team member needs to summarise permitted correspondence, consult an approved internal procedure and draft a response. Start with one recurring case type. Access to the entire CRM or permission to change an account is not necessary for the first useful workflow.

Risk: a draft becomes an unintended action

A response may include another client’s information or rely on an outdated procedure. An agent sending a message or changing a system record without authority creates a further risk. Approving a model does not establish permission for those actions.

Configured controls

Restrict sources to the relevant case and approved procedure. Define roles, models and processing environments. Separate reading and drafting from sending or writing. Designated actions wait for an assigned approver; prohibited steps are blocked. Agree the record scope for the request, sources, actions and approval.

Result: a case ready for a decision

The team member receives a summary and response draft for review. An approved next step can be connected through an agreed integration. The team can review the work and track draft quality and handling time without confusing AI output with an authorised decision.

Limits

This is not an out-of-the-box AML monitoring, credit-scoring or automated customer-decision service. Workspace does not guarantee DORA, GDPR or AI Act compliance. The organisation assesses the use case; CRM integration, write permissions and communication channels must be agreed.

Before going live

Test another client’s data, an unapproved model, an outdated source and sending without approval using illustrative cases. Verify retrieval of the resulting record. Assess factual accuracy, human corrections and time to an approved response.
